Running year-end in Dentrix: Essential tips for a smooth transition

As the new year dawns, one of the most frequent questions I hear is, "Dayna, how do I run year-end in Dentrix? Did I even run it, and how can I be sure?" These are great questions, and I'm here to guide you through this crucial process with confidence and clarity.

First, let me assure you that running year-end in Dentrix is very similar to running month-end. If your month-end processes are automated and running smoothly, you're already ahead of the game. To double-check, open Task Manager (also known as the Month-End Task Scheduler). This tool shows whether tasks like month-end -- and, by extension, year-end -- are running and completing successfully.

There are four essential tasks you should ensure are running each month, especially at year-end:

  1. Insurance Benefits Reset: This tool ensures that patient benefits renew correctly, resetting the used amounts to zero for the new year.

  2. Closed Transactions: This locks the ledger history, ages account balances, and moves your ending accounts receivable balance into the new year's beginning balance, a critical step for accurate financial reporting.

  3. Clinical Notes to History: While not directly tied to accounting, this step locks clinical notes for compliance and documentation integrity.

  4. Perio Charts to History: Similar to clinical notes, this tool ensures perio charts are preserved as finalized records.

When you open the Task Scheduler, check the lower-left corner for a detailed task log. This view will confirm whether the tasks were completed successfully or if the system encountered errors.
